Team Manager Info

For season 2023, your role as team manager is to manage your allocated team and complete tasks required by the league to stage the match on match day in accordance with the league’s by-laws dated 03/03/2021.

Systems

To support you in your role, the club and the league have adopted the following systems which you’ll be given access to:

1 TeamApp

This is a club nominated online and app platform used by club officials and team managers and coaches for communicating with the team and scheduling training sessions and matches for the team. Upon becoming team manager, download the app here and contact our volunteer accreditation coordinator.  Once the squad (for pre-season training) or team (for season training and matches) is formed and finalised by the club, our volunteer accreditation coordinator can then link you to the squad or team and give you manager access.

2 PlayHQ

This is league nominated platform used by team managers to view match fixtures, download team sheets for match day and upload match results after match day. Upon becoming a team manager, register as a volunteer with the club here and contact our volunteer accreditation coordinator.  Once the team is formed and finalised with the league, our volunteer accreditation coordinator can then link you to the team and give you team manager access.


Support

Support is available to support you in your role as team manager, and can assist you in identifying and resolving issues or elevating issues to the committee to address at a club level. While you’re ultimately responsible for ensuring the team manager tasks are completed in accordance with league and club requirements, please delegate as many “delegate-able” roles to parents and caregivers to ensure the workload is spread across the team.


Equipment

1 Team Manager Kit Bag

You’ll be allocated a team manager kit bag at the start of the season.  For the contents of the team manager kit bag click here.  Upon receipt, please ensure all contents are there and clearly marked with the club name and team – for example, “South Melbourne Districts U12 Girls Red”.  Please also ensure the team manager kit bag and all contents are promptly returned after the end of the season.  If you need to replenish items in the team manager kit bag, please contact our team manager coordinator.

2 Jumpers

You’ll be allocated jumpers for each player in your team at the start of the season.  Upon receipt, please arrange to distribute to players before round 1 and arrange to promptly collect after the end of the season.  When distributing the jumpers at the start of the season, please complete the jumper allocation sheet and e-mail to our volunteer accreditation coordinator. There’s a $80 late fee levied on players for failure to return a jumper at the end of each season.  If you have any questions, queries or concerns about jumpers, please contact our team manager coordinator.

3 Match Day Awards

You’ll be allocated match day award vouchers from our season 2023 sponsors - Schnitz, Grill’d and Smithburg - to be used for acknowledging and rewarding up to 3 players for their outstanding performance on the field each round. If you need to replenish vouchers, please contact our team manager coordinator.


Participation

1 Registration

Please ensure only players who’ve registered with the club play in any match and ensure only players who’ve met the league’s finals qualification requirements play in any finals match.  If you’re unsure, don’t let the player play until you’ve confirmed their registration or qualification with our registrar.  If you have any questions, queries or concerns about player registrations, please contact our registrar.

2 uniform

Please ensure players are wearing the correct jumper, shorts and socks with the league logo.  Boys must wear white shorts for away matches and red shorts for home matches and girls must wear red shorts.  Beige compression undergarments may be worn underneath shorts, but must not extend below the knee.

Mouthguards must be worn.  Jewellery and boots with sharp studs or aluminium or stainless steel studs must not be worn.

4 Match roles

A description of each match role is here. Not all roles are relevant to the particular age group your team is playing in.  For example, there’s no water carrier for modified rules matches and no volunteer umpire for older age groups. The volunteer accreditation required to fulfil each match role is here. In allocating parents or caregivers to match roles, please ensure the parent or caregiver is accredited for the role before acting in the role. If you have any questions, queries or concerns about volunteer accreditations for match roles, please contact our volunteer accreditation coordinator.

At the start of the season, our volunteer accreditation coordinator will confirm with you which parents and caregivers in your team registered with South Melbourne Districts it holds a current and valid WWCC and trainer qualifications for. For the Alliance Teams, Port Melbourne Colts will confirm with you which parents and caregivers in your team registered with Port Melbourne Colts it holds a current and valid WWCC and trainer qualifications for.

At the start of the season, request parents or caregivers of players volunteer to fulfil match roles during the season. You can do this by sending a message on TeamApp calling for volunteers and collecting a list of volunteers.

During the season and before match day, allocate match roles to volunteers using the “manage duties” function on TeamApp. Please ensure you only allocate:

5 Match day Checklist and Paperwork

For the match day checklist, click here. During the season, if you need any match day paperwork, such as timekeeper cards, goal umpire score cards or competition match reports, please can contact our team manager coordinator.

6 Player votes

For the player vote template, click here. Following each match, please confidentially complete the player vote template and forward to our president.

7 Team sheet

Before the match day and using GameDay, enter the name and number of the players playing in the match for the team (in the same order as on the league team register) and the name of officials officiating the match (coach, assistant coach, team manager, trainer and runner).

Before the match, confirm player and official attendance by putting a tick next to their name. If a player is not in attendance, put a line through their name and add DNP (did not play). If a player is granted a permit or exemption to play in the match, put a P (permit) next to their name. If a player doesn’t play during the match, remove their name from the team sheet before signing the team sheet. Give an unsigned copy of the team sheet to the opposition.

During the match, give a signed copy of the team sheet to the senior field umpire no later than the third quarter. Once the team sheet is given to the field umpire, no further players can be added to the team sheet.

After the match, collect the signed copy of the team sheet from the senior field umpire and retain it, to be made available to the league on request.

8 Competition match report Form

Before the match and if a home match, provide the field umpire with the competition match report form.

After the match, collect the form from the field umpire, add any comments on the back of the form if required, sign the form acknowledging receipt and distribute as follows: green (home team), pink (opposition team) and white (umpire).

If a home match, complete the competition match report form and submit to the league online before 12 noon on the Monday after the match.

9 Player & Official Report Form

Before the match and if a home match, provide the field umpire with the player & official report form.

After the match and if a player or official is reported, collect the form from the field umpire, add any comments on the back of the form if required, sign the form acknowledging receipt and distribute as follows: white (team of reported player or official), green (other team) and blue (umpire).

If you are the team manager of the team of a reported player or official, contact our team manager coordinator as soon as possible after the match.

10 Umpire Appointments and Feedback

The league posts umpire appointments on Saturday morning and updates umpire appointments on Saturday night. To check umpire appointments, click here.

11 Milestone banners

For celebrating player milestones, you can make you own banner by using the banner template and following the banner instructions or you can buy a banner from Milestone Banners. If you make your own banner, there are banner poles in the home change room behind the maiin entry door.

If your child is in an alliance team, Port Melbourne can loan a Port|South banner (contact Annette Maloney at annette@socialmediaready.com.au).

12 Social Media and Volunteer of the week
